Is email taking up a huge chunk of your time, and robbing you of being more productive? When you get a ton of emails waiting for you to open it, do you tend to check it all at once? Or are you the kind that checks your email every few minutes?

As a general rule, check emails only once. See these email management tips below to see how you can do this.

Try to reply right after you read the mail. But reply only to urgent emails! Stop replying to those unimportant junk mails that might even lead you into more unnecessary work commitments.

Chunk it

As mentioned earlier, reply only to urgent emails, and if you have more important things on your to do list , keep those unchecked emails in your inbox and check them the next day. Only deal with important ones!

Don’t be afraid to do this

Sometimes we receive junk mails with interesting titles, just delete them. Don’t be too curious. Sometimes curiosity eats up more and more of our time because we end up messing up on our schedule.

Sometimes we can’t follow the rule of ‘check it once’ to strictly. If you have checked several emails and you think you need to deal with them in the near future, do not leave them in your inbox. When new mail comes things might just get messy.

Hotmail provides a tool for you to store it in separate folders; Gmail allows you to ‘favourite’ the email with highlighting it. If your email service provider does not have any feature for you to organize important mails, simply print it out immediately or save it in a file, just don’t leave it in your inbox!

Set a schedule for checking your emails, if you receive 20 mails a day, decide how many times a day you should attend to it.

Lastly, don’t get distracted by emails if you are in the midst of doing something important, remember scheduling your activities through your to do list is extremely vital. Be discipline and follow these email management tips to manage your emails more effectively!
